The Cultural Development Foundation is issuing this request for proposal for “PRODUCTION SERVICES” for Fashion Show – Lights.Camera.Fashion for Arts Component – Saint Lucia Jazz & Arts Festival 2023 on Wednesday, May 10th 2023.

  1. SCOPE OF WORK:

Fashion, as part of the Jazz and Arts festival experience celebrates excellence, creativity and diversity. Lights. Camera. Action. One (1) night of a visual spectacle meant to showcase the best of Saint Lucian, Caribbean and world fashion designers. The City will become electric with fabric, color, texture, lighting, music, models, and a never-ending runway of creativity and passion. Serving inspiration to festival goers looking for a creative look for the leading events.

  • EVENT OBJECTIVES:

The purpose of the Fashion Show is to celebrate our heritage as an essential aspect of the Saint LuciaJazz experience through Fashion. The event’s objectives are as follows:

  • To host a trend setting, avant-garde fashion show as a main event on the Jazz & Arts schedule of
  • To produce a trunk show following the fashion show where all designers have the opportunities tosell their
  • To identify and invite international, regional and local buyers to participate in the fashion show andtrunk
  • Develop on-island capacity of Saint Lucian designers, models, and infrastructure suppliers for thesustainability of the fashion industry in Saint

With this in mind, the Cultural Development Foundation is therefore seeking a fashion producer toproduce the 2023 Saint Lucia Fashion Show.

  • Trunk Show: – Fashion Expo – Buyers
  • PRODUCTION: (MODELS & DESIGNERS)
  • Responsibility for securing a scouting and training venue and providing all required services, supplies and infrastructure for said training. Models should be largely Saint Lucian with a focus on the development of Saint Lucians There should be a maximum of 40 models (both male and female). (Models to be paid by CDF directly).
  • Book the designers (local, regional and international) and work with the designers on the overall theme/looks being presented on the runway.
  • EVENT PRODUCTION (SHOW):

The Producer of the Saint Lucia Fashion show is required to execute the following     while keeping the objectives ofthe event in mind.

  • Establishment of the creative direction for the

  • Design and plan the format of the show taking full responsibility for the quality of presentationand overall
  • Engage and manage the support team to include (but not limited to) fashion stylists, hair stylists,and makeup artists, event décor & set
  • Establish a local production team including a backstage team, sound and lighting technicians,to work on the event to ensure the best production possible.
  • Act as a liaison to event photography and videographer service
  • Give input to the advertising, sponsor solicitation and public relations for the show

Design and produce a trunk show to facilitate further promotion and sale of designs post fashion-show (schedulingto be determined in consultation with the CDF)

  1. REPORTING & EVALUATION:
  • Report to the Cultural Development Foundation on a regular basis on the progress of the planning for the show (time intervals to be established)
  • Conduct event evaluation post-event and provide a detailed report to the CDF
  1. MANAGEMENT OF SERVICE
  • The service provider shall provide an outline of how the operations of the services requested willbe This will include their approach and ability to control and integrate their services.

  1. PRICING

The service provider should provide a detailed cost breakdown of the service requested. The price should include transportation, service staff, value added tax (VAT) and all other associated      fees where applicable associated with executing this service. Suppliers are encouraged to provide explanations where needed for clarification. All service providers must provide the Cultural Development Foundation with their VAT registration number.

The proposal should address all of the above including the following:

  • Additional information – suppliers may provide additional information that was not

Failure to submit the requested information will result in an ineligibility of the proposal.

  1. TERMS, CONDITIONS & LIMITATIONS

Conflict of Interest: The Offeror warrants that it presently has no interest and shall not acquire any interest,direct or indirect, which would conflict in any manner or degree with the performance of services required under the contract resulting from this RFP. The Offeror also warrants that, to the best of its knowledge, no officer, agent board member or employee of the CDF who shall participate in any decision relating to this RFP and the resulting contract, currently has, or will have in the future, a personal or pecuniary interest in theOfferor’s business.

Obligations: This RFP does not represent any obligation or agreement whatsoever on the part of the CDF. An invitation to respond to the RFP does not create any rights on the part of the applicant. Any documents provided to the applicant represent the best information at the disposal of the CDF. Respondents areencouraged to undertake their own investigations.

Evaluation period: The CDF reserves the right to analyze, examine and interpret any offer for a period of 90-days after the hour and date specified for the receipt of offers.

Rejection and Waiver: The CDF reserves the right to reject any or all offers and to waive informalities andminor irregularities in offers received.
